Employee & Instructor Application & Onboarding Agreement
This Employee & Instructor Application & Onboarding Agreement (“Agreement”) is entered into between the applicant (“Applicant”) and Vin-Ter Language School (“Vin-Ter,” “Company,” “we,” “our,” or “us”).
By submitting an application, participating in interviews, providing onboarding materials, or continuing with the onboarding process, Applicant acknowledges and agrees to the following terms:
1. Purpose of Information Collection
Applicant understands that the Company collects personal, educational, employment, certification, and professional information for purposes including but not limited to:

recruitment and candidate evaluation;
-
instructor qualification review;
-
onboarding and training;
-
scheduling and staffing;
-
compliance and recordkeeping;
-
academic placement and institutional requirements;
-
communication regarding employment or contractor opportunities;
-
and operational administration.
2. Internal Use & Limited Information Sharing
Applicant authorizes the Company to review, store, process, and internally share submitted application materials with authorized personnel, including but not limited to:
-
Human Resources;
-
Academic Affairs;
-
Scheduling Departments;
-
Program Coordinators;
-
Management personnel;
-
and administrative staff involved in recruitment or onboarding.
The Company may also share limited professional information with affiliated educational institutions, clients, business partners, or program sponsors when reasonably necessary for:
-
instructional placement,
-
institutional compliance,
-
partnership review,
-
client requests,
-
or assignment consideration.
The Company will make reasonable efforts to limit shared information to what is operationally necessary.
3. Confidentiality & Data Protection
The Company will treat Applicant’s personal information as confidential and will implement reasonable administrative safeguards to protect submitted records.
Except as otherwise permitted under this Agreement, the Company will not knowingly disclose confidential personal documents to unrelated third parties without Applicant authorization unless disclosure is:

required by law;
-
requested by governmental authorities;
-
necessary for legal compliance;
-
necessary for payroll, tax, insurance, or employment administration;
-
or reasonably necessary to protect the Company’s legal interests.
Applicant understands that electronic communications and digital storage systems, while protected, may not be completely immune from unauthorized access.
4. Video Demonstration & Evaluation Consent
As part of the onboarding and evaluation process, Applicant may be required to submit a teaching, language, presentation, or professional demonstration video.
Applicant agrees that:

the video must be no less than thirty (30) seconds and no longer than two (2) minutes unless otherwise instructed;
-
the submitted video may be reviewed internally by authorized Company personnel;
-
the video may be used solely for recruitment, evaluation, training review, onboarding assessment, quality assurance, and internal academic review purposes.
The Company shall not publicly publish, advertise, commercially distribute, or use the Applicant’s video for marketing or promotional purposes without separate written authorization from the Applicant.
5. Accuracy of Information
Applicant certifies that all information, documents, certifications, statements, and materials submitted during the application and onboarding process are true, accurate, and complete to the best of Applicant’s knowledge.
The Company reserves the right to:

deny onboarding,
-
terminate the onboarding process,
-
rescind offers,
-
remove instructional assignments,
-
or terminate employment or contractor relationships
if false, misleading, incomplete, fraudulent, or materially inaccurate information is discovered.
6. Consent to Communication
Applicant authorizes the Company to contact Applicant regarding:
-
interviews,
-
onboarding steps,
-
employment opportunities,
-
instructional assignments,
-
scheduling,
-
compliance matters,
-
administrative updates,
-
and operational communications.
Communication may occur through:
-
email,
-
telephone,
-
SMS/text messaging,
-
video conferencing,
-
or other professional communication platforms.
7. No Guarantee of Employment or Assignment
Submission of an application, participation in onboarding, or completion of evaluation requirements does not guarantee:
-
employment,
-
contractor status,
-
teaching assignments,
-
minimum work hours,
-
class placement,
-
continued engagement,
-
or future opportunities with the Company.
Unless otherwise stated in a separate written agreement, all employment relationships remain at-will to the extent permitted under applicable law.
8. Intellectual Property & Submitted Materials
Applicant retains ownership of original personal materials submitted during onboarding unless otherwise agreed in writing.
However, Applicant grants the Company a limited, non-exclusive right to review, store, reproduce internally, and evaluate submitted materials for legitimate business and onboarding purposes.
9. Record Retention
Applicant understands that application materials, onboarding records, communications, certifications, and evaluation materials may be retained by the Company for administrative, legal, compliance, audit, or operational purposes in accordance with Company policies and applicable law.
10. Independent Contractor & Employee Classification
Applicant understands that participation in onboarding does not determine employment classification.
The Company reserves the right to classify personnel as:

employees,
-
independent contractors,
-
consultants,
-
or other lawful classifications
based on applicable federal and state laws, contractual agreements, and operational requirements.
11. Governing Law
This Agreement shall be governed by and interpreted in accordance with the laws of the State of Maryland, without regard to conflict of law principles.
12. Acknowledgment & Consent
By submitting an application, uploading documents, participating in interviews, submitting a video demonstration, or continuing the onboarding process, Applicant acknowledges that they:

have read and understood this Agreement;
-
voluntarily consent to the terms stated herein;
-
authorize the collection and processing of information as described above;
-
and agree to comply with Company onboarding requirements and policies.
